Sample Letter 1: Issue Remains Unsolved
Dear Mr Colin Simons
I am writing to you regards to the lack of repairs done to the external soil ventilation pipe on the rear of the property.
Prior to the beginning of our rental agreement on approximately the 28th of February, it was agreed between you and I that the pipe would be fixed before we moved in, as a warranty of the contract.
However when we entered the premises on the 25th September it was found that the pipe had not been fixed and as a result, as a consequence whenever the toilet is used, the smell does not escape up the pipe to be emitted outside, it in fact makes its way throughout the house, creating a smelly house and discomfort to the residents.
Following this unfixed pipe we have spent a significant amount of money on air fresheners, for which we feel that a contribution on your part should be made, please find the receipts enclosed.
We feel that there has been far more than sufficient time for this work to be completed since the issue was first mentioned back in February, and would therefore like to suggest that the work would be completed within 14 days. If however the work is not completed to a satisfactory standard, we feel that we due to the unpleasantness of the issue, we will have the work completed from an independent contractor and then claim the cost from yourself, including all charges and interest.
We feel that our action is not unreasonable and would like to hear from you.

Sample Letter 2: Threat of Legal Action
Dear Mr Simmons
I refer to our conversation in February and my letter dated 27th September.
In the absence of a satisfactory response yourself, I have since had the work completed by an independent contractor. Due to your refusal to pay for this work, I feel that I have no other option that to commence County Court proceedings against you.
As a final opportunity, I am prepared to allow a further 10 days for payment of the work, interest, bank chargers and half the cost of air fresheners. If you fail to comply this I shall with the proceedings and issue you with a Country Court Summons.
As a result of these proceedings, in addition to the cost of the pipe repairs and the subsequent costs, I will also be claiming for the courts fees and any interest that arises from this cost.
If I have no response I shall issue proceedings without any further warning.

Sample Letter 3: Notification of Problem
Dear Mr Colin Simmons
I am writing to you in regards to the matter of the sink basin being cracked when my housemates and I moved in on the 9th of September. This issue i believe falls under your obligations as a landlord, as the sink is unusable.
Please may you notify us of your course of action regarding timings and contractors.

Sample Letter 4: Breach Of Contract
Dear Mr Colin Symonds
I am writing to you in regards to a recent breach of our tenancy agreement.
As of s2.3 of our tenancy agreement that;
‘Security. The tenant and landlord will take all reasonable steps to safeguard the accommodation against burglary.’
However when you last accessed the property you removed the deadlock on the door, as you cited maintenance, this however went against our belief as residents. This action left only the chain in place. You also stated that a replacement would be installed the same day by a locksmith. This however did not occur.
As a consequence our property has been broken into through the forcing of the front door and breaking of the chain. This unarguably breaches our agreement and although our insurance companies are paying for the loss we believe that this breach on your part. As a result our premiums have risen, which due to your negligence we believe that you are liable for this increased cost, as you are liable for all reasonably foreseeable damage as a result of the breach of the contract.
